Contact us
Email hello@xovera.io for anything — bugs, billing, the GoHighLevel integration, API questions, or account and data requests.
Email supportWhat to include
The more of this you send, the faster we can help:
- • The email address on your Xovera account.
- • What you expected to happen, and what happened instead.
- • For a meeting problem: the meeting title and roughly when it ran.
- • For a GoHighLevel problem: the location (sub-account) name, and whether you installed at agency or location level.
- • For an API problem: the endpoint, the HTTP status you got, and the key prefix (e.g.
rsn_live_ab12c) — never send the full key.
Response times
We answer email during UK/AU business hours and usually reply within one business day. Anything affecting recording, transcription, or CRM sync is prioritised over general questions.
Common issues
- The notetaker didn't join my meeting
- Check that the event is on a calendar connected under Settings → Calendars, and that it has a Google Meet, Zoom or Microsoft Teams link attached. Events with no joinable link can't be attended — you can upload the recording afterwards instead.
- Meeting notes aren't reaching GoHighLevel
- Xovera matches attendees to GoHighLevel contacts by email address. If the attendee's email isn't on a contact record there is nothing to attach the note to. Confirm the CRM connection under Settings → Integrations, then see the GoHighLevel setup guide.
- A transcript or summary looks wrong or is missing
- Summaries are generated after the recording finishes processing, so a very recent meeting may still be in progress. If a summary is clearly wrong, email us the meeting title and approximate time and we'll look at what happened.
- I can't add teammates
- Workspace members are managed under Settings → Members, which is admin-only. If your plan has a seat limit you'll be prompted when you reach it.
- API requests are returning 401 or 429
- 401 means the API key is missing, malformed, or has been revoked — keys are shown once at creation and can be re-issued from Settings → API. 429 means you've exceeded 120 requests per minute for that key. Full details in the API documentation.
- I want my data deleted
- Email us from the address on the account and we'll action it. See the privacy policy for what we store and why.
